The Credentialing & Services Specialist is responsible for providing support to team members, supervisors, and the People Operations team through the timely management of the credentialing process for all providers at Sound. This position requires high-quality customer service and an expert

level awareness of regulatory, governing, and operating criteria related to licensure, champions process improvement, and uses basic knowledge of HR policies, procedures, standards, and legal requirements, and facilitation skills.

Schedule: Monday-Friday 8:00am-5:00pm

Location: Hybrid, but must reside in the Greater Seattle Area. Some in-person expectations in our Tukwila East office (6400 Southcenter Blvd, Tukwila, WA 98188).

Responsibilities

ESSENTIAL FUNCTIONS AND DUTIES

CREDENTIALING

•    Responsible for all aspects of initial credentialing and recredentialing of practitioners or providers within the credentialing scope who are employed or contracted with Sound

•    Review and screen initial and reappointment credentialing applications for completeness, accuracy, and compliance with Washington State Department of Health (DOH), federal & state regulations, guidelines, and policies

o Assist with credential collection during orientation and onboarding.

o Assist new hires and team members with the professional license process, ensuring applications are submitted within the applicable timeframes, particularly with the grace period authorized by DOH.

o Track steps such as submitting the initial application, making payment, and ensuring the team member follows up with DOH until the credential is issued.

o Track pending documentation and follow up with the appropriate parties

•    Oversee and manage the Agency Affiliated Counselor (AAC), NPI, and Mental Health Professional (MHP) process.

•    Validate new degrees and credentials and update all applicable systems.

•    Works with many individuals to acquire necessary materials and information, including, but not limited to: physicians, clinicians, facility staff, and professional staff

•    Identifies, analyzes, and resolves extraordinary information, discrepancies, time gaps, and other idiosyncrasies that could adversely impact the ability to credential and enroll clinicians; discovers and conveys issues to clinical and People Operations leadership for sound decision-making following Sound policies, credentialing policies, and procedures, federal, state, local, and government regulations

•    Processes appropriate queries for expired licensure or any appropriate regulatory credentialing requirement and maintains documentation in the database.

o Monitor license and certification expiration dates, sending timely renewal reminders and assisting with documentation.

•    Communicates concisely and timely manner with clinicians, internal partners, and leadership to

·   provide updates on day-to-day credentialing

•    Maintain up-to-date and organized digital and physical files of all clinical teams.

o Performs relevant data entry into the database and HRIS to ensure consistency and integrity of the data

•    Maintain confidentiality of provider files and all information related to the credentialing process

•    Additional credentialing-related items in partnership with the Accounts Receivable team

•    Creates/develops regular and ad-hoc reports

•    Assist with audits by preparing relevant credentialing documentation and reports

•    Participate in process improvement initiatives related to credentialing operations

 

PEOPLE OPERATIONS

•    Serves as the primary point person for the Relias Learning system

•    Serves as the first point of contact for general inquiries from team members on general credentialing questions

•    Assists with training and learning initiatives and facilitations

•    Serves as a backup to New Hire Orientation and Onboarding programs

•    Serves as a backup for the internship program onboarding

•    Maintains a high degree of confidentiality.

•    Other duties as assigned.

Qualifications

EDUCATION AND EXPERIENCE

  • A minimum of 3+ years of prior work experience in healthcare
  • Experience in managed healthcare (behavioral health preferred)
  • Minimum of a High School Diploma.
  • Associate’s or Bachelor’s preferred in relevant field: Healthcare, Human Resources, Business, or Communications ideal; equivalent experience considered
  • High level of proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
  • SharePoint, a plus

 

CERTIFICATES, LICENSES & REGISTRATIONS

  • Certified Provider Credentialing Specialist (CPCS) preferred
  • Complete and successfully pass a criminal background check

WORK ENVIRONMENT

Ability to work a regular, full-time, Monday-Friday, Hybrid work schedule of in-office and remote work, that is fast-paced with frequent interruptions. Limited Term Assignment through 09/2027, with the possibility to extend.
